Quip’s mission is to modernize and improve the way that people work and communicate across their organizations. With more information, intellectual property, and decisions shared through real-time communication, there is a challenge for discovery, compliance, and information governance. Quip recognizes that organizations need solutions that allow for search, preservation of edited and deleted data, and defensible collection. Quip’s Admin API empowers organizations to confidently collect and preserve relevant data for litigation or legal holds.

There are three types of third-party partner integrations with Quip, depending on your needs:

  • eDiscovery: eDiscovery apps pull messages and files from Quip, and store the information in third-party data warehouses. From the data warehouses, documents, files, and messages can be searched, archived, or retrieved.
  • Data Loss Prevention (DLP): DLP apps ensure confidential information (like credit card and social security numbers) isn’t shared outside of Quip by scanning for content within documents, files, and messages that break predefined policies.
  • Cloud Access Security Broker (CASB): CASB apps protect your cloud users, data, and apps, while enabling compliance and improving productivity.

Many Quip customers enlist a third-party eDiscovery or Data Loss Prevention (DLP) partner to oversee all of their cloud solution software. Our Admin API can connect your Quip site to your partner of choice. One of our most exciting new partners in this space is Onna.

Onna centralizes data in Quip and other collaboration tools to deliver a streamlined, simplified search and management experience all in one place. Here’s how Onna built their eDiscovery integration using Quip’s Admin APIs:

Step 1: Indexing

With Onna, organizations can quickly and securely collect from and search across all the data within an Enterprise Quip account. Once authorized, the Admin API allows Onna to process any user’s accessible documents, spreadsheets, as well as metadata fields, edits, deletions, comments, and chats.

The data is then enhanced to enable highly effective searching. For eDiscovery and compliance, it is critical to identify relevant information down to the character. Every piece of content, including attachments and their own embedded content from any source including Quip, is run through an extensive processing pipeline within Onna to extract the maximum amount of text and rich metadata in any language. Onna also utilizes machine learning techniques to add more value to thousands of file types.

All original and extracted information is then indexed and made searchable within a few moments of the collection.

Step 2: Data synchronization

Information can be processed in several ways - one-time, mirrored auto-sync, or archived auto-sync. Synchronization allows for real-time search across Quip or ongoing preservation for archiving or to enable legal holds. After the initial collection and processing, Onna can continuously sync the data set by leveraging the Quip Admin and Events API. New content updates or deletions are validated against Quip since the last Onna checkpoint, then updated in Onna accordingly.

Once responsive data is identified, Onna also makes it easy to share with collaborators or export for further review.
